Homeowner Expectations
We believe in setting clear expectations so that our partnership remains transparent, professional, and efficient. Please review the following guidelines and
policies.
Hours of Operation & Response Time
- Office Hours: Monday – Friday, 9:00 AM – 5:00 PM
- Response Time: We strive to respond within 24–48 business hours. Please note that evenings, weekends, and holidays are not considered business hours.
Accounting & Disbursements
- Tenant leases include a 3-day grace period for rent payments (1st–3rd of each month).
- Once paid, funds require 3–5 business days to clear, depending on weekends and holidays.
- Magnolia Properties typically processes all accounting and owner disbursements between the 7th–10th of each month.
Homeowner Mailing Address
- Homeowners must ensure their mailing address is always current with USPS.
- Updated mailing addresses must also be provided directly to Magnolia Properties.
- Magnolia does not provide mail pickup services at this time.
HOA Responsibilities
- Magnolia does not coordinate with HOAs for approvals, applications, or communications. These responsibilities remain with the homeowner.
- HOA fines are the tenant’s responsibility if caused by their actions; however, Magnolia does not intervene on the owner’s behalf for HOA processes. We will provide the tenants any violations and fines provided by the homeowner.
- Owners are required to provide Magnolia with the HOA bylaws, rules, and regulations applicable to their property.
Move-Out Checklist
We provide a detailed move-out checklist to guide homeowners in preparing their property for key turnover. Completing this checklist helps ensure a smooth transition for incoming tenants.

- If the checklist is not completed, Magnolia will coordinate the necessary services on your behalf for a $350 scheduling fee, plus the cost of each required item.
Annual Recap & Tax Requests
- We provide an end-of-year recap at no cost.
- If you would like a 1096 form, this can be requested for $75.00.
Walkthroughs & Inspections
Magnolia Properties includes the following walkthroughs as part of management:
- Move-In Walkthrough
- Move-Out Walkthrough
- One walkthrough during lease term upon request
- Please note- Any additional walkthroughs requested will be scheduled at a fee of $150.00 per walkthrough.
